Track what was ordered, received, paid, returned, refunded, still owed, and how much purchasing cash remains after the project moves into execution.

Use this Excel workbook to manage order lines and delivery status, track quantities received, returned, and outstanding, and see committed amounts, payments, and unpaid balances. Record credits and refunds. Payment Status is calculated from the payment and refund data instead of being manually selected.

The Purchasing Summary shows purchasing cash available from client funds received, additional funds, payments, and refunds. Approved-vs-actual reconciliation helps you compare execution to the approved purchasing baseline, including split orders without duplicating that baseline.

This tool works independently for purchasing and order management. If you also use Spec & Project Budget Tracker, copy the Spec Approved Handoff range and paste values only into Approved Items. The workbooks do not synchronize automatically.
